This Privacy Policy explains how Airtists Creative Inc. (“Airtists,” “we,” “us,” or “our”), based in Alberta, Canada, collects, uses, discloses, and protects personal information when you visit airtists.io, use our online store, create an account, register for an event or course, purchase a pass, contact us, or use a related Airtists service.

This policy is designed around Canadian privacy requirements, including the Personal Information Protection and Electronic Documents Act (“PIPEDA”), and also explains choices available to users in other jurisdictions. If a particular event, course, app, or program provides an additional privacy notice, that notice supplements this policy.

1. Who is responsible for your information

Airtists Creative Inc. is the organization responsible for personal information under its control. Our Privacy Officer handles privacy questions, requests, and complaints. Contact instructions appear at the end of this policy.

2. Information we collect

Information you provide

• Checkout and order information: name, email address, telephone number, billing address, shipping address when needed, country, selected product, pass, cohort or payment plan, order notes, transaction status, and order history.
• Account information: login details, profile information, preferences, and records associated with your Airtists account. Passwords are stored in protected, non-readable form by the website system.
• Course, event, and program information: registration choices and information reasonably needed to provide access, scheduling, support, certificates, communications, or event administration.
• Communications: information you submit through our contact form, email, reviews, comments, surveys, support requests, or other communications.
• Content you choose to provide: any files, images, profile information, feedback, or other material you voluntarily submit. Please do not send sensitive personal information unless we specifically request it for a legitimate purpose.

Information collected automatically

When you use the site, our systems and service providers may collect IP address, browser and device type, operating system, referring pages, pages viewed, approximate location derived from IP address, timestamps, error and security logs, cookie identifiers, shopping-cart activity, and interactions with site features. We use this information for site operation, security, fraud prevention, analytics, and improvement.

Information received from others

We may receive transaction confirmations, fraud signals, account or delivery status, and limited identifiers from payment, hosting, analytics, email, event, course, and other service providers. If you reach Airtists through a partner or event organizer, that organization may send us registration or referral information in accordance with its own notice and permissions.

3. What happens during checkout

Our store is powered by WordPress and WooCommerce. Before and during checkout, the site may use cookies or similar technology to remember your cart, selected products, account session, and checkout progress.

When you place an order, Airtists records the contact, billing, order, and technical information needed to:

• process and confirm the purchase;
• provide a pass, course, event access, product, receipt, support, refund, or account service;
• calculate and document applicable taxes and transaction records;
• detect fraud, abuse, payment errors, and security incidents; and
• meet accounting, legal, regulatory, and dispute-resolution requirements.

Payments are processed through Stripe or another payment method shown at checkout. The payment processor receives the payment and billing information needed to authorize the transaction. Airtists may receive a transaction identifier, payment status, card brand and last four digits, and fraud or dispute information. Airtists does not intend to receive or store your complete card number or card security code. See Stripe’s Privacy Policy for its practices.

4. How and why we use personal information

We use personal information only for identified and reasonable purposes, including to:

• provide and administer purchases, registrations, courses, passes, events, accounts, customer service, and requested communications;
• process payments, refunds, subscriptions or instalments, taxes, invoices, and financial records;
• authenticate users and protect Airtists, customers, creators, partners, and the public from fraud, misuse, and security threats;
• operate, troubleshoot, measure, personalize, and improve the website and our services;
• send essential service, order, schedule, safety, or policy updates;
• send optional promotional messages where you have consented or where applicable law permits, with an unsubscribe option;
• enforce agreements, resolve disputes, and establish or defend legal claims; and
• comply with legal, regulatory, tax, accounting, and lawful government requirements.

Where the GDPR, UK GDPR, or a similar law applies, our legal bases may include performance of a contract, compliance with law, your consent, and our legitimate interests in operating, securing, supporting, and improving Airtists without overriding your rights. You may withdraw consent at any time, although withdrawal does not affect earlier lawful processing.

5. Cookies and analytics

We use essential cookies and similar technologies for carts, checkout, account login, preferences, security, and core site functions. Disabling essential cookies may prevent the store or account features from working properly.

We may also use analytics tools, including Jetpack/Automattic services, to understand site traffic, performance, and engagement. These tools may process device information, IP address, cookie identifiers, and usage events. Where required by law, we request consent before using non-essential cookies. You can also adjust browser settings to block or delete cookies. See Automattic’s Privacy Policy.

6. When we disclose information

We disclose personal information only as reasonably necessary for the purposes described above, including to:

• payment and fraud-prevention providers, such as Stripe;
• website, hosting, security, analytics, database, email, and technical-support providers;
• contact-form providers, including Formspree when you use the Airtists website contact form—see Formspree’s Privacy Policy;
• course, meeting, and event platforms, such as Zoom, where needed to deliver a program you joined—see Zoom’s Privacy Statement;
• event organizers, instructors, contractors, or partners who need limited information to deliver the service you requested and are expected to use it only for that purpose;
• professional advisers and authorities where required for legal, tax, accounting, safety, fraud, or dispute purposes; and
• a successor organization in a proposed or completed merger, financing, restructuring, or sale, subject to appropriate confidentiality and legal requirements.

We do not sell or rent personal information for money, and we do not share it for cross-context behavioural advertising as those terms are defined under applicable U.S. state privacy laws.

7. International processing

Airtists is based in Canada, and some service providers may process information in Canada, the United States, or other countries. Privacy laws in those locations may differ from those where you live, and information may be accessible to courts, law enforcement, or regulators under local law. We take reasonable steps to select appropriate providers, limit what they receive, and use contractual, organizational, and technical safeguards appropriate to the information and applicable law.

8. How long we keep information

We retain personal information only as long as reasonably necessary for the purposes described in this policy, including delivering services, maintaining account and transaction records, meeting tax and accounting obligations, preventing fraud, resolving disputes, and enforcing agreements. Retention depends on the type of information and applicable legal requirements.

For example, order and transaction records may be retained for the period required by tax, accounting, chargeback, and recordkeeping laws; account information may be kept while an account remains active; and security logs, abandoned checkout information, and routine communications may be kept for shorter operational periods. When information is no longer required, we take reasonable steps to delete, anonymize, or securely dispose of it. Backup copies may remain temporarily until overwritten through normal backup cycles.

9. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the sensitivity of the information, such as encrypted connections, access controls, updates, backups, and carefully selected service providers. No internet transmission or storage system can be guaranteed completely secure. If a privacy breach occurs, we will investigate and provide legally required notice to affected people and regulators.

10. Your privacy choices and rights

Depending on where you live and subject to legal exceptions, you may have the right to:

• know whether we hold personal information about you and how it is used or disclosed;
• request access to or a portable copy of your information;
• correct inaccurate or incomplete information;
• request deletion or anonymization;
• withdraw consent or object to or restrict certain processing;
• opt out of promotional communications;
• complain to a privacy or data-protection regulator; and
• exercise your rights without unlawful discrimination.

Canadian users may request access and correction and may challenge our compliance with applicable Canadian privacy law. You may also contact the Office of the Privacy Commissioner of Canada.

Residents of the European Economic Area or United Kingdom may also have rights to erasure, restriction, objection, portability, withdrawal of consent, and complaint to their local supervisory authority. California and other U.S. residents may have rights to know, access, correct, delete, limit certain uses of sensitive information, and opt out of sale or sharing where the applicable law applies. Because Airtists does not sell or share personal information for cross-context behavioural advertising, we do not currently provide a “Do Not Sell or Share” link.

We may need to verify your identity before completing a request. Some information may be retained where permitted or required by law, including transaction, tax, security, and legal records. Authorized agents should provide proof of authority where required.

11. Marketing communications

You may unsubscribe from promotional emails through the unsubscribe link in the message or by contacting us. We may still send non-promotional messages required to complete an order, administer an account, deliver a course or event, respond to a request, or provide important service and security information.

12. Children

The website and checkout are not directed to children under 13, and we do not knowingly collect their personal information without appropriate consent. If a participant is under the age required to consent where they live, a parent or legal guardian must provide any required permission. Contact us if you believe a child provided personal information without proper consent.

13. External links and embedded services

The site may link to or embed content from third-party websites. Those services operate under their own privacy policies, and Airtists is not responsible for their independent practices. Review their notices before providing personal information.

14. Changes to this policy

We may update this policy when our services, providers, or legal obligations change. The “Last updated” date will show when the current version took effect. We will provide additional notice where a material change requires it.

Please write “Privacy Request” at the beginning of your message and describe the request and the email address connected to your account or order.

We will respond within the timeframe required by applicable law. Please do not send passwords, complete payment-card numbers, government identification numbers, or other unnecessary sensitive information through the contact form.
